Job application tracker: every application in one place
Somewhere around the tenth open application, managing them becomes the work. Which resume went where, who replied, and where a follow-up is overdue.
What an application tracker does
An application tracker records where you applied, what state each application is in and what is due next. The difference from a spreadsheet is that it updates itself: the application is created where you submit it, the document version used is attached to it, and incoming replies are filed against the right one instead of getting lost in your inbox.
- Status per application, from found to offer
- The document version used stays attached
- Replies are filed automatically
- Overdue follow-ups become visible
How the overview builds itself
The application is created
As soon as you prepare and submit an application, the entry appears. You do not have to note it down somewhere else as well.
Documents stay attached
The resume and cover letter generated for that role hang off the application, so weeks later it is still clear what the company received.
Replies are filed
Incoming messages are matched to the right application and classified, for example as an acknowledgement, an interview invitation or a rejection.
Due dates surface
Applications sitting without a response appear as open items instead of quietly going stale.
Spreadsheet or tracker
| Spreadsheet | Tracker | |
|---|---|---|
| Upkeep | by hand | created as you apply |
| Document version | a filename in a folder | attached to the application |
| Replies | in your inbox | filed against the application |
| Follow-ups | if you remember | surfaced |
| Accuracy | as good as your discipline | continuous |
When this becomes relevant
Searching in parallel
Several roles, several companies, different stages. That is exactly where things get lost without structure.
With long processes
Weeks often pass between applying and hearing back in the DACH region. By then the context is otherwise gone.
For follow-ups
Following up only works at the right moment and with reference to the right role.
The pipeline
Every application moves through the same stages, so you can see at a glance where something is stuck and where you are the blocker.
- Found and scored
- Flagged for review
- Documents prepared
- Applied
- Reply received
- Interview and offer
What the tracker does not do
It uses your application mailbox
Replies are filed when they arrive at the alias you apply with on paid plans — not by reading your personal Gmail or Outlook.
It does not catch every reply
Messages with no clear reference, or from an unrelated address, cannot always be matched confidently. Then the filing is up to you.
It does not send follow-ups
It makes visible that following up is due. Whether and how you do it stays your decision.
A status is not an answer
A stage in the tracker is a note about your process, not a statement from the company.
Questions about the application tracker
Do I have to enter every application myself?
How are replies detected?
Can I still see which resume I sent?
